Important subscription notice

POS Mate access and account-specific support depend on a paid subscription. A seven-day grace period follows expiry, while the 30-day data-retrieval period begins on the subscription end date.

Service provider

POS Mate is operated and supported by HORIX PRO SOFTWARE (PVT) LTD, a company registered in Sri Lanka under registration number P V 00364292, with its registered address at No. 47/A Spill Road, Puttalam 61300, Sri Lanka. Legal notices may be sent to admin@horixpro.com. Support enquiries may be sent to info@horixpro.com or made by telephone at +94 71 523 8808.

Acceptance and eligibility

By creating an account, purchasing a plan or using POS Mate, the customer agrees to these Terms and confirms that the person accepting them is authorised to act for the relevant business. Users must be legally capable of entering into a binding agreement.

Trial period and first subscription

New customers receive a one-month trial period. To continue after the trial, the first paid subscription must be purchased for one full year. The first annual payment is due within five calendar days after the trial ends. Trial eligibility, start date and any limitations will be recorded in the customer’s quotation or account.

Subscription and platform access

After the initial annual term, customers may renew monthly or yearly. Renewals are manual and POS Mate will not automatically charge the customer. Subscription customers may sign in, use the POS system and access subscribed features while the subscription is active and during the limited post-expiry grace period described below.

Billing, payment methods and taxes

Payments may be made by bank payment, card or cash using the instructions provided by POS Mate. Monthly renewal payments are due on the first day of each monthly term, with a maximum grace period of two calendar days. Annual renewals receive a maximum grace period of six calendar days. Published prices do not include taxes; any legally applicable tax will be added separately.

Support during an active subscription

“Lifetime Support” means support throughout the customer’s continuous active POS Mate subscription and the seven-day post-expiry grace period. Support is available every day, including weekends and public holidays, from 8:00 a.m. to 12:00 midnight Sri Lanka time by telephone, email and approved AnyDesk remote access. WhatsApp support is not currently available. POS Mate aims to acknowledge complaints within one to two hours and, if a call is missed during support hours, to return it within one hour. These are service targets rather than guaranteed resolution times.

Support scope and plan differences

Standard support includes bug fixes, system guidance, initial system training and eligible on-site visits within the agreed service area. Premium customers also receive explanations of new features and customisation of existing system features and workflows. Large-scale data entry, completely new feature development, third-party integrations, non-standard custom reports and custom hardware installation outside the standard package require additional payment. Data-entry charges depend on volume and complexity.

Plan upgrades and downgrades

A requested upgrade or downgrade normally begins when the current plan ends. A customer requesting an immediate upgrade must pay the difference between the current plan and the new plan for the applicable period; the amount already paid for the current plan will be credited when calculating that balance. Immediate downgrades do not create a refund or credit unless agreed in writing.

Cancellation and subscription refunds

A cancellation request may be submitted at any time and will be processed within seven business days. Unless POS Mate confirms an earlier termination, service continues until the subscription end date and no subscription payment is refundable. Cancelling does not remove amounts already due or the customer’s responsibility to retrieve data within the stated period.

Expiry, grace period and loss of access

When a subscription reaches its end date, POS Mate provides a seven-calendar-day access grace period. If payment is not received by the end of that grace period, POS login, platform usage, subscribed features, updates and account-specific support are disabled. General support remains available for renewal and data-export enquiries. The customer should export information needed for business, tax or accounting purposes without delay.

Data retrieval, active deletion and backups

For 30 calendar days after the subscription end date, the customer may request available data through general support. Exports may be supplied in CSV format or as an available database export after reasonable identity and authority verification. Customer data is then scheduled for deletion from active systems and may no longer be recoverable. Backups associated with a deleted account are permanently removed within 30 days after account deletion. Deleted customer data will not be restored into active systems. The customer is responsible for requesting, downloading and securely retaining its export in time.

Accounts, passwords and authorised users

Customers are responsible for safeguarding credentials, assigning appropriate staff permissions, keeping account information accurate and notifying POS Mate promptly of suspected unauthorised access. Activity performed through an authorised account may be treated as activity of the customer.

SMS notifications

By using POS Mate and enabling relevant notification features, customers agree that the system may send SMS messages through approved third-party providers. Messages may include customer purchase receipts, sales and order confirmations, daily sales reports or summaries, business and system notifications, account alerts and subscription reminders. SMS delivery is provided through Text.lk using the CodeRog integration. Standard SMS or mobile-network charges may apply where applicable.

Acceptable use

Customers must not use POS Mate unlawfully; attempt to bypass security or subscription controls; introduce malicious code; interfere with service operation; reverse engineer or copy protected software except where permitted by law; misuse another person’s data; or use the service for fraud, abuse or infringement.

Customer data and compliance

The customer controls the business information entered into POS Mate and is responsible for its accuracy, lawful collection, staff permissions, customer notices, consent where required and compliance with tax, employment, consumer and data-protection obligations applicable to the customer’s business.

Software and intellectual property

POS Mate, its source code, interface, branding, documentation and related intellectual property remain owned by the applicable POS Mate or Horix Pro rights holder. An active subscription grants the customer a limited, non-exclusive, non-transferable right to use the service for its internal business operations.

Hardware bundle and software-only installation

The standard hardware bundle includes one POS machine, one two-in-one printer and one scanner, with installation at no additional charge. The LKR 80,000 software-only fee covers initial installation and setup on customer-owned equipment. It includes a trial period only; after the trial, the customer must purchase an annual subscription to continue using POS Mate. Future updates and support then follow the selected active plan. Trial customisation is not included, and post-subscription customisation depends on the selected plan. The seven-day expiry grace and 30-day data-retention rules apply.

Hardware delivery, warranty and repair

Hardware delivery is available within Sri Lanka only and is expected within a maximum of two weeks, subject to availability and events outside reasonable control. Hardware includes a one-year service warranty. A repair or replacement assessment may take up to one month, and POS Mate will provide a temporary machine where available during that period.

Hardware care and warranty exclusions

The customer is responsible for proper installation conditions, electrical safety, physical security and reasonable care of all hardware. Damage caused by misuse, accident, unauthorised repair, liquid, unsuitable power supply, negligence or other customer-responsible circumstances is excluded and may end the applicable warranty. Exact manufacturer exclusions should also be provided with the hardware.

Trial returns and hardware or setup refunds

During the one-month trial, a customer may return supplied hardware or discontinue an eligible setup and request a refund of the applicable hardware or setup payment. Hardware must be returned in its original condition with all supplied accessories, and the customer pays return-delivery costs. Assessment begins after inspection. Repair or replacement costs caused by customer damage may be deducted, and payment-gateway or bank transaction fees are not refundable. An approved refund will be completed within one month after inspection. Trial refund rights end when the one-month trial finishes.

Availability, maintenance and backups

POS Mate may perform maintenance, security updates and service changes. Offline features may have technical limitations and require later synchronisation. Tenant-scoped database backups are created automatically every 24 hours for disaster recovery and service continuity, verified by checksum and stored in private application storage. Only authorised Horix Pro administrators may access them. Expired archives are removed automatically under the retention schedule, and deleted customer data will not be restored into active systems.

Warranties and limitation of liability

POS Mate will use reasonable care in providing the service but cannot guarantee uninterrupted or error-free operation. To the maximum extent permitted by law, HORIX PRO SOFTWARE (PVT) LTD’s total liability arising from POS Mate will not exceed the subscription fees paid by the customer during the twelve months immediately before the event giving rise to the claim. This limit does not exclude liability that cannot lawfully be limited or excluded.

Suspension and termination

POS Mate may suspend or terminate access for material breach, fraud, unlawful activity, serious security risk, non-payment or conduct that threatens the service or other users, subject to applicable law and any reasonable notice or cure period stated in the final Terms.

Governing law and disputes

These Terms are governed by the laws of Sri Lanka. The parties will first attempt to resolve any dispute through good-faith negotiation. If the dispute remains unresolved, the courts of the Puttalam District, Sri Lanka will have jurisdiction, subject to any mandatory rights or jurisdiction provided by applicable law.

Changes, notices and contact

Customers will receive at least seven days’ prior notice before a material change takes effect, using the website, account, email or another reasonable channel. Formal legal notices may be sent to admin@horixpro.com or to HORIX PRO SOFTWARE (PVT) LTD, No. 47/A Spill Road, Puttalam 61300, Sri Lanka. These Terms are effective from 26 July 2026.
